As the Office Operations & Executive Assistant to our C-level, you will be at the heart of LearnWorlds’ administration team in Limassol, ensuring that our office runs smoothly and is a vibrant space that inspires collaboration and creativity. This dual role offers a unique opportunity to directly support our C-level team, making a meaningful impact on our company’s strategic initiatives. You will be the trusted go-to person for all things office and HR while also playing a pivotal role in enabling our leadership team to focus on driving LearnWorlds' vision forward. Job Duties

HR and Office related responsibilities:

  • Manage daily operations of the Limassol office, ensuring a well-organized, efficient, and welcoming environment.
  • Coordinate with vendors and service providers for office supplies, maintenance, and other needs.
  • Act as a member of the HR team for 50% of your time to help them keep track of employee records, onboarding, benefits and guidance for more than 160 LearnWorlders.
  • Work closely with internal teams such as Finance ie. invoices and provider payments.
  • Plan and organize team events, meetings, and activities.
  • Handle office budget tracking and reporting.

Executive Assistance to C-level:

  • Prepare meeting agendas, take minutes, and ensure follow-ups are executed.
  • Assist with administrative tasks for the CEO as required.
  • Coordinate communication and workflows between the CEO and other departments or stakeholders.
  • Support other C-level executives as needed with scheduling, travel planning, and correspondence.
  • Help prepare reports and process documentation.
  • Maintain confidentiality and handle sensitive information with discretion.

Job Requirements

  • Proven experience as an HR Assistant, Office Manager, Executive Assistant, or in a similar administrative role.
  • Exceptional organizational and multitasking skills with strong attention to detail.
  • Excellent written and verbal communication skills in Greek and English.
  • Proficiency in office management tools (e.g., Google Workspace, MS Office) and scheduling software.
  • Strong interpersonal skills and the ability to build positive working relationships across teams.
  • Discretion and trustworthiness in handling confidential information.
  • Problem-solving mindset with the ability to work independently and under pressure.
